The emphasis should be on readability rather than production value.

Executive Board Meeting

For audiences under 40 people, skip projection altogether.

A 98″ professional display often provides a cleaner, more collaborative environment while eliminating projector shadows and reducing equipment footprint.

Pharmaceutical or Financial Presentation

These events typically require:

• Crisp PowerPoint presentation
• Speech reinforcement only
• Recording feed (optional)
• Timer display for speakers

No elaborate stage lighting or scenic elements are normally required.

National Conference (800–1,500 Attendees)

This room deserves large-scale production.

A pair of projectors or a single 16′ LED wall is not enough for an audience of this size.

Recommended Production Design

• Centre stage with wide scenic backdrop
• Large LED wall (24’–30′ wide if available)
• Two side projection screens (IMAG) for audience reinforcement
• Camera package with live image magnification
• Dedicated show control position at the rear of the room

For audiences approaching 1,500 people, clear presenter visibility is more important than simply increasing projector brightness.

Corporate Conference (500–700 Guests)

A more economical configuration could include:

• 18′ LED wall
• Dual 9′ × 16′ projection screens
• Medium scenic stage
• Basic broadcast package

Ideal for regional sales meetings and annual conferences.

Awards Gala

Rather than projection, I’d recommend focusing on atmosphere:

• Large centre LED wall
• Decorative stage set
• Dynamic lighting
• Walk-up music
• IMAG cameras
• Sponsor graphics
• Entrance lighting effects

The room’s size lends itself to high-impact presentations.

Trade Show General Session

If the ballroom is supporting an exhibition:

• Large keynote stage
• Live camera feed
• Confidence monitors
• Presentation timer
• Sponsor playback
• Overflow recording
• Livestream capability

This allows the room to function as the event’s main theatre.

Audience Distance

The room is over 150 feet long.

Rear attendees will struggle to see presenters without:

• Large side screens
• High-quality graphics

For events over 800 guests, image magnification becomes an essential production element rather than a luxury.

Acoustics

Because of the room’s volume, a distributed audio system should be considered instead of relying solely on a traditional left/right speaker system.

The goal is even speech coverage throughout the room without excessive volume near the stage.

• 800–1,000 guests: 20′ × 32′
